Established in 1951, IOM is a Related Organization of the United Nations, and as the leading UN agency in the field of migration, works closely with governmental, intergovernmental and non-governmental partners. Context
Under the overall / direct supervision of the Systems Support Officer, Senior Systems Support Assistant, Resettlement and Movement Management (RMM) Unit in Geneva and in close coordination with other units in Manila Administrative Centre; the successful candidate will provide assistance in managing user’s profiles and accounts for IOM operational tools used globally, maintain the content of the RMM Portal, provide assistance in the unit functions in reporting and quality control to ensure continues provision of quality services by the unit promote compliance to the Standard Operating Procedures among IOM’s Global Field Offices.
Core Functions / Responsibilities
1. MANAGING OPERATIONAL SYSTEMS ACCOUNT – INTEGRATED AIRLINES TICKET ORDER RECORD (IGATOR), RMM PORTAL AND HIT
- Register new account of IOM Movement staff/ Operations Staff members in the field applying RMM Policy in accessing the Operations Integrated Systems,
- Coordinate with the ITC helpdesk about the Global Access List (GAL) information of the account related to domain information and other necessary related details.
- Validate the requested account from the PRISM application prior to account creation to ensure the account identity and consistency of information and to implement the necessary security control.
- Verify and request applicable requirements of RMM Proprietary Tools indicated in RMM SOP and as needed, requirement stipulated in Finance SOP and obtain RMM Approval prior to activation of account. Requirements include but not limited to training on the use of application, endorsement from Mission/RO Operations Officer, justification, etc.
- Grant or facilitate activation of RMM Approved accesses. Monitor temporary access and deactivate or facilitate deactivation when the approved validity has ended.
- Asses the encountered system error and liaise to the concerned ITC personnel if the error has been determined as system related issue, monitor the reported issue until solution achieved.
- Provide a simple and clear instruction to the application users to address the encountered issue in order to avoid unnecessary delay in the operation process/procedures.
- Troubleshoot user access.
2. RMM PORTAL CONTENT UPDATE
- Update the content of the RMM portal with the information provided by the RMM in Geneva, and when update is provided by other Mission’s Movement Staff, in coordination with RMM.
- Monitor the content of the RMM Portal requiring periodic update and ensure that the information has been accurately and timely reflected to the portal.
- Maintain the consistency and accuracy of the content when updating the portal, ensure to reflect the update to the correct section and apply the necessary setting to reflect the expected output like, reflecting the information on the expected page in addition to the document’s main location.
- Accurately observe the organization of the contents when in need to create new section to accommodate a newly added content.
- Maintain the efficient utilization of the resources when doing the update consider the most effective memory usage preventing to hinder its fast and efficient page response.
- Follow the standard practice of accurately implementing the metadata of the recent information update in order to provide useful details and good reference on the portal content.
- Maintain the standard practice in naming files and portal pages for a well-organized portal contents.
- Observe a simple but neat and well-organized presentation of information when updating the content.
- Prepare Directive and Circular URL, update the necessary link with the correct URL of the related document for distribution to field operations staff.
DATA AND INFORMATION ANALYSIS
- Record Monthly MiMOSA User Account Verificaton and MiMOSA User Account Deactivaiton responses from Missions and escalate to ICT those with request of Activation, Deactivation, Update and escalate change update on the list of recipient of the autogenerated verification email.
- Prepare annual Report of the Result of MiMOSA User Account Verification for submission to RMM.
- Analyze the flow of system information based on the Standard Operation protocol in order to provide an efficient support to the user for fast resolution of the reported issue.
4. DOCUMENT AND INFORMATION CONTROL
- Keep track of the document update, observe a well-organized naming format of each document type.
- Assist in updating systems user manual.
- Assist in devising presentation on IOM Transport and Movement Data.
- Assist in the provision of training materials for the RMM trainings including creating delegated power point presentations as well as formatted hard copies of the user guides, training exercises and any other relevant related materials.
- Assist in drafting of Directive, Circular based from the information and instruction provided by RMM.
5. PERFORM SUCH OTHER DUTIES AS MAY BE ASSIGNED BY THE SUPERVISOR
Education
- University degree in Computer Science, Information Technology or a related field from an accredited academic institution, with three (3) years of relevant professional experience; or
- Completed High school degree from an accredited academic institution, with five (5) years of relevant professional experience.
Experience
- Relevant work experience in systems development, database reporting, data analysis, designing online survey, systems support to end users and statistical record keeping capacity;
- Experience in manipulation of data in various file formats, reporting from complex databases, understanding of statistical principals necessary for data analysis;
- Extensive experience in MS SQL Query, MS Reporting Services, Drupal
- Proficient in a Microsoft Office environment, including extensive use of Microsoft Excel, Word, PowerPoint and comfort with learning new software and project reporting tools;
- Advanced analytical and critical thinking skill;
- Demonstrated ability to analyse data, detect meaningful trends and patterns, and communicate findings.
Languages
For this position, fluency in English is required. Knowledge of a second official UN language is desirable.
