Context

Under the direct supervision of the Senior Financial Reporting Assistant and the overall supervision of the Head of Pension Administration Unit, the Senior Pension Contribution Administration Assistant will be responsible for the review of the participants’ monthly UNJSPF contributions, financial reconciliation, verification and process separation process.

Core Functions / Responsibilities

  1. Ensure accuracy and validity of the monthly review of all UNJSPF participants’ contributions, restoration and validation in close coordination with the Pension Contribution Administration Assistant and Pension Administrators.
  2. Review and reconcile the variances of all UNJSPF participants’ contributions. Closely collaborate with HR Personnel Administrators and HR/Finance Officers of participating missions regarding these issues to clear the variances.
  3. Responsible as backup support of the Senior Pension Administrator (Finance) on all financial reports and review.
  4. Act as second level support and provide guidance to the Pension Contribution Administration Assistant.
  5. Responsible for preparing and analyzing financial-related transmissions to UNJSPF.
  6. Respond to more complex Pension contribution inquiries and refer the most complex ones as appropriate.
  7. Maintain and import in PENSYS (Pension System) work related information of the participants, including new Salary scale and foreign exchange rates.
  8. Review and recommend process improvements.
  9. Coordinate with Separated UNJSPF participants in obtaining separation documents.
  10.  Review, prepare and process all received separation documents to be submitted to UNJSPF Geneva.
  11. Monitor pending cases for UNJSPF benefits/payment.
  12. Assist in the preparation of the Year-End Report/Schedule for submission to the Fund and eventually the monthly data transmission through IPAS-FI (UNJSPF System).
  13. Assist in the reconciliation of the UNJSPF payments for financial analysis and reporting, including the accounting and reconciliation of such accounts with the UNJSPF in instances of Participant Reconciliation Exceptions (PRE) Reports received from the Fund.
  14. Responsible in maintaining the emails/tickets in the ticketing system related to financial in accordance with the service level agreement (SLA)
  15. Respond to basic information to staff on their Pension entitlements, instructions, and procedures in line with UNJSPF regulations.
  16. Exercise strict confidentiality concerning the disclosure of information to third parties.
  17. Ensure IOM’s compliance to the Regulations and Rules of the UNJSPF.
  18.  Keep abreast and updated on UNJSPF developments.
  19. Perform other related duties as required.

Education

  • University degree in Accounting, Finance or a related field from an accredited academic institution, with four (4) years of relevant professional experience in the field of accounting and finance; or
  • Completed High School Degree from an academic institution, with six (6) years of relevant professional experience.
  • Must be a Certified Accountant (CPA) or equivalent.

Accredited Universities are those listed in the UNESCO World Higher Education Database.

Experience

  • Sound knowledge of accounting systems and/or SAP plus generally accepted accounting principles and internal controls
  • Experience in audit and reconciliation.
  • Knowledge in accounting and financial reporting system.
  • Preferably, knowledgeable with UNJSPF pension system or similar.
  • Knowledgeable in IOM/UN system an advantage.
  • Computer literacy including proficiency in MS Office applications.
  • Good analytical and problem-solving skills.

Languages

For this position, fluency in English is required. Knowledge of a second official UN language is desirable.
