Context

Under the overall supervision of the Head of HRAU and the direct supervision of the National HR Officer (HR Administration), the successful candidate validates time management transactions for Professional staff worldwide and General Service staff in Switzerland.

Core Functions / Responsibilities

  1. Act as the time management focal point.
  2. Validate all time management transactions processed by the HR Assistant (TM Processing) in a timely manner.
  3. Liaise with the Operations Support Unit (OSU) and the Occupational Health Unit (OHU) on absences relating to long-term illness and sick leave under Incapacity and Partial Disability Insurance (IPDI) and support in the analysis of complex cases where IPDI is applicable.
  4. Review and validate time management reports prepared by the HR Assistant (TM Processing).
  5. Ensure completeness of the assigned HR actions relating to timekeeping and time management, including those impacting payroll within the timelines defined by the Payroll Unit, to ensure accurate payment of salary.
  6. Provide guidance and advice to Professional staff worldwide and General Service staff in Switzerland on entitlements and leave administration based on relevant policies.
  7. Assist in the preparation of documentation and in the development of Standard Operating Procedures (SOPs), guidelines, manuals, process flows, and presentations pertaining to time management, as required.
  8. Participate in HR initiatives, implementation of new systems, and any activities that lead to enhancements and/or modifications of time management processes.
  9. Perform other related duties as may be assigned.

Education

  • Bachelor’s degree in Human Resources, Business Administration, Psychology, or related field with five (5)  years of relevant professional experience; or
  • High school diploma with seven (7) years of relevant experience.

Accredited Universities are those listed in the UNESCO World Higher Education Database.

Experience

  • Experience in HR Management and personnel administration.
  • Experience using an ERP system
  • Experience in an international organization, non-governmental or governmental organisation in a multicultural setting is an advantage.
  • Advanced knowledge of Microsoft Office Suite
  • Knowledge of IOM/UN HR procedures and rules is an asset.
  • Knowledge of SAP is highly desirable.

Languages

For this position, fluency in English is required. Knowledge of a second official UN language is desirable.
