Established in 1951, IOM is a Related Organization of the United Nations, and as the leading UN agency in the field of migration, works closely with governmental, intergovernmental and non-governmental partners. Context
The Human Resources Administration Unit (HRAU), located in the Manila Human Resources Operations and Administrative Services (MHRO), is responsible for providing a full range of personnel support services relating to contract administration and entitlements and benefits to Professional staff worldwide and General Service staff in Switzerland.
Under the overall supervision of the Head of HRAU and the direct supervision of the National HR Officer, the successful candidate will process time management transactions for Professional staff worldwide and General Service staff in Switzerland.
Core Functions / Responsibilities
- Provide information and documentation relevant to time management to staff members as required.
- Respond to staff queries via phone, Microsoft Teams, and e-mail relating to time management, such as Compensatory Leave, Travel Time, Rest and Recuperation, Birth Leave, Time Off for Feeding, Parental Leave, Uncertified Sick Leave, Certified Sick Leave, among others, in an accurate and timely manner.
- Process the HR actions relating to time management within the Service Level Agreements (SLAs) as defined in the HRAU transaction approval matrix.
- Accurately update staff leave records in the Organisation’s Enterprise Resource Planning (ERP) system, as required.
- Record absences due to long-term illness and sick leave under Incapacity and Partial Disability Insurance (IPDI) in coordination with the Occupational Health Unit (OHU) and Operations Support Unit (OSU).
- In coordination with OSU, process quota creation and correction, such as those in carryovers and change in categories and contract types.
- Complete the assigned HR actions relating to timekeeping and time management, including those impacting payroll within the timelines defined by the Payroll Unit, to ensure accurate payment of salary.
- Analyse statistical data, generate regular reports related to time management, and submit them to the Senior HR Assistant (TM Validation).
- Perform other related duties as may be assigned.
Education
- Bachelor’s degree in Human Resources, Business Administration, Psychology, or related field with four (4) years of relevant professional experience; or
- High school diploma with six (6) years of relevant experience.
Experience
- Experience in HR Management and personnel administration
- Experience using an ERP system
- Experience in an international organization, non-governmental or governmental organization in a multicultural setting is an advantage.
- Advanced knowledge of Microsoft Office Suite
- Knowledge of IOM/UN HR procedures and rules is an asset.
- Knowledge of SAP is highly desirable.
Languages
For this position, fluency in English is required. Knowledge of a second official UN language is desirable.
