Established in 1951, IOM is a Related Organization of the United Nations, and as the leading UN agency in the field of migration, works closely with governmental, intergovernmental and non-governmental partners. Context
The organized movement of persons in need of international migration assistance is a primary mandate of the Organization and a cornerstone of IOM’s operations. Global Movement Systems Support is coordinated under the division of Resettlement and Movement Management (RMM) in the Department of Operations and Emergencies (DOE) at IOM’s Geneva Headquarters, and is responsible for all aspects related to the management of the global movement systems, technical support of RMM proprietary tools, administration of RMM Portal and maintenance of Freshservice.
Under the general supervision of the Movement System Support Officer and direct supervision of the Data Monitoring Associate, the successful candidate is responsible for the following duties and responsibilities:
Core Functions / Responsibilities
GENERAL FUNCTIONS:
- Supervise the day-to-day activities of the Data Monitoring Section.
- Supervise the two Data Monitoring Assistants and perform SES evaluation.
- In coordination with Systems Support Officer, assign and schedule workload within the team.
- Provide support to Data Monitoring Assistants ensuring timely, accurate and smooth flow of
operation related to the update of tickets and movements status. - Assume responsibilities/workload of Data Monitoring Assistants when needed to achieve
deliverables. - Coordinate with PCST/IGATOR/Mimosa help desks technical problems reported by the field
offices and facilitate solving. - Maintain effective coordination & act as a focal point with Airlines Invoices Section (AIS) focal
point to resolve reported open Invoice Receipts, discrepancies and duplicates in PRISM and
Continue follow-up of unresolved issues until expected results are achieved. - Assist in providing guidance to field missions on the interpretation of IOM’s Standard Operations
procedures relevant to movements & tickets Statuses. - Contribute to organizing and delivering in-house training sessions relevant to Data Monitoring
functions. - Contribute to drafting guidelines and training materials.
- Provide coaching and day-to-day guidance to more junior staff.
DATA MONITORING & REPORTING:
- Analyze daily Open Good Receipt report related to global/local Airline invoices, monitor the trends of the missions and recommend needed follow up/action.
- Analyze discrepancies of the Good Receipts against invoice Section (AIS) or field missions.
- Monitor MiMOSA departed movements and ensure timely update of the movements statuses.
- Create Manual GRs for items that were not delivered in PRISM due to systems technical
problems. - Delivery Complete in PRISM for items corresponding to revoked or closed TORs locally or
globally paid PRISM items. - Prepare monthly DMS footprints report and submit to System Support Officer Evaluating Country Offices reported issues and recommended actions.
- Monitor Section’s main email box, redirect emails to concerned staff and ensure timely response.
- Monitor Section’s footprints and redirect tickets to concerned staff.
- Consolidate and prepare statistical reports and other reports as may be required.
SYSTEMS ENHANCEMENT:
- Participate in PRISM/IGATOR workgroup meetings for system enhancements and user acceptance tests (UATs).
- Recommend improvement to strengthen internal controls, systems and operational practices relevant IOM’s Integrated Operational Systems.
- Identify required system modifications and enhancements.
PERFORM SUCH OTHER DUTIES AS MAY BE ASSIGNED.
Education
- University degree in Computer Science, Business Administration, Information Management or a
related field from an accredited academic institution, with four (4) years of relevant professional
experience in relevant to statistics; or, - Completed High school degree from an accredited academic institution, with six (6) years of relevant
professional experience
Experience
- Relevant work experience in database reporting and data analysis, quality assurance, use of
databases and software applications, and statistical record keeping capacity. - Advanced analytical and critical thinking skill.
- Proficient in a Microsoft Office environment, including extensive use of Microsoft Excel Word,
PowerPoint and comfort with learning new software and project reporting tools. - Demonstrated ability to analyse data, detect meaningful trends and patterns, and communicate
findings.
Languages
For this position, fluency in English is required. Knowledge of a second official UN language is desirable.
