Established in 1951, IOM is a Related Organization of the United Nations, and as the leading UN agency in the field of migration, works closely with governmental, intergovernmental and non-governmental partners. Context
Under the overall supervision of the BT Officer (Data Migration Execution & Testing) and the direct supervision of the National Admin and Finance Officer, the incumbent will provide HR and administration support to the BT – Resources Management team.

Core Functions / Responsibilities
- Support the BT events by coordinating with stakeholders including but not limited to requirements discussion, ocular inspections, asset checking, sending out meeting invites, buying of materials / items, seating set-up, timeline development and on-site coordination.
- Ensure that all materials needed for the events are complete and set-up properly.
- Schedule security briefings to travellers in Manila.
- Booking of conference rooms / workstations.
- Assist travelers in terms of visa requirements, accommodation, transportation, badges / access cards as necessary.
- Assist in collection of assets such as laptops, headsets, etc. for outgoing staffs.
- Assist new hires by providing the necessary assets, workstation, etc.
- Email creation for consultants / Third party contractors.
- Perform a wide range of administrative tasks including preparing and/or processing administrative requests/documents (HR / Procurement / Finance).
- Updating of staff list file and creation of monthly staff report.
- Perform any other additional tasks that may be assigned by the supervisor.
Education
University degree in Business Administration, or a related field from an accredited academic institution; or,
Completed High School Degree from an accredited academic institution, with one (1) year of relevant professional experience
Experience
- Proficient in Microsoft Office applications e.g. One Drive, MS Teams, Word, Excel, PowerPoint, Outlook Ability to organize electronic files/paperwork in a methodical way.
- Discreet, details and clients- oriented, patient and willingness to learn new things.
- Prior experience working for international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting in the area of administrative/executive support is an advantage.
- Proficient in Microsoft Office applications e.g. One Drive, MS Teams, Word, Excel, PowerPoint, Outlook.
- Ability to organize electronic files/paperwork in a methodical way.
Languages
For this position, fluency in English is required. Knowledge of a second official UN language is desirable.
